WESTBROOK NEWS

Keynote Speaker Announced: Insight 2009 – Westbrook’s annual customer and partner conference
Ken Schmidt

"Never do what's expected, make yourself as noticeably different as possible, and have a lot more fun than you're supposed to."
— Ken Schmidt, Harley-Davidson

As the former director of corporate and financial communications for Harley-Davidson, Ken Schmidt played an active role in one of the most celebrated turnarounds in corporate history. Westbrook Technologies is excited to present Ken as the keynote speaker at Insight 2009. In his presentation, he will reveal how businesses of any size can improve their competitiveness in even the most difficult economic environments. We are certain all our conference attendees will benefit from hearing how Ken helped to restore the company’s image and create demand for its motorcycles.  Within a few short years, Harley-Davidson became one of the most visible and frequently reported-on companies in the world, while sales of its motorcycles skyrocketed.

Ken’s presentation will kick-off an informative educational program at Insight 2009 which will be held October 12-15, 2009 at the Loews Portofino Bay Hotel at Universal Orlando.

Top midwest manufacturer achieves new efficiencies with Fortis
LaForce, Inc.LaForce, Inc. is the Midwest’s leading distributor of door hardware and a manufacturer of custom hollow metal frames and doors. In addition to working with general contractors and architects for commercial construction, the company assists building owners in maintaining their existing structures. LaForce also offers a broad spectrum of decorative hardware for high-end residential applications. The corporate office and manufacturing plant are in Green Bay, Wisconsin with branches in Milwaukee, Madison, Chicago, Detroit and Cincinnati.

LaForce wanted to share operational information more efficiently and integrate documents with their business applications. “We had ERP and other applications that manage business data, but our processes require supporting source documents that were stored in paper files. That model doesn’t scale for a multi-branch business,” said Jeff McGlachlin, vice-president at LaForce.

The company needed a system that could handle multiple document types including architectural plans and specifications, supplier catalogs and cut sheets, supplier price quotes, estimating reports and emails. LaForce chose Fortis because the software is both user-friendly and met the needs of its IT department. They also wanted implementation expertise and ongoing support from a local company which is provided by Westbrook partner MBM, based in Appleton, Wisconsin.

Fortis helps premier health center cure the EOB blues
Medical Center Clinic, Pensacola, FLMedical Center Clinic in Pensacola, FL has built a 70-year reputation grounded in exceptional and innovative care. Serving the residents of Northwest Florida and South Alabama, this health care system encompasses a variety of nationally recognized specialty services and programs.  It is a leader in putting technology to work for its patients.

Medical Center Clinic sought to efficiently manage medical records, ancillary paperwork, invoices and insurance forms to improve administrative processes necessary in providing top quality healthcare. Approximately ten years ago, the organization’s Explanation of Benefits (EOB) group implemented Fortis. At that time, the EOB group was spending $25,000 annually on microfilm, in addition to the salary dollars for a 60-person records room staff. “The process of retrieving EOBs was difficult and time-consuming,” said Steve Spear, IT manager at Medical Center Clinic. The cumbersome process began when an EOB was requested either by a patient or insurance company. A copy of the EOB was requested via interoffice mail which then began a microfiche search. Once located, the EOB was printed and forwarded back to the requesting staff member.

Collaborating with Don Mayberry of IKON Office Solutions, Medical Center Clinic implemented Fortis document management software making the EOBs available electronically. Through the use of Fortis, the typical response time on EOB-related questions has been drastically cut from several days to only a few minutes.

Best practices for installing a Fortis service pack

Installing a Fortis service pack? You may notice that our installation guide makes note of backing up your entire Fortis system before running an upgrade. The same is true for a service pack installation. Make sure to have a good back up of at least the Fortis and FortisDT directories, as well as the databases and any related files before running the service pack. All users should be out of the system both when performing the backup as well as when applying the service pack. All applications and services related to Fortis need to be shut down during the backup and service pack installation as well, such as Fortis Inflo, Script Manager, and IIS if Fortis Web is being used. If the service pack is not run under the proper conditions (i.e. as an administrator with write permissions to the Fortis directory, and what was mentioned previously), it may result in file corruption and data loss.

Get better performance from Fortis

The most current version of Oracle Database and Client is 10.2.0.4. This version has shown improvements to performance in Fortis for Oracle over earlier versions.

You can upgrade all Database and Client versions 10.2.0.1 and up using patch number 6810189, titled “10g Release 2 (10.2.0.4) Patch Set 3.” This patch set is available from the Oracle Metalink at http://metalink.oracle.com/.

Do you ever have a problem getting Script Manager to start automatically or run a script on the application server?

Installing Script Manager on the Fortis Shared Client server using a UNC path instead of a local path will result in the service not being able to start automatically or run scripts. The solution is to install Script Manager using a local drive path. You can achieve this by browsing to the Fortis/WKSetup locally and running a workstation setup. This will install Script Manager using a local path and will solve the issues.

Installing Script Manager on a server that is not the Fortis Shared Client server using a mapped drive will result in the Windows Service not starting properly. You must create the service using a UNC path.

To delete the service, type this exactly in command prompt: sc delete “Script Manager”

To recreate it, in command prompt type: sc create “Script Manager” binPath= [Path to ScrptSrv.exe] DisplayName= “Fortis Script Manager”

Note: There must be a space after each = sign. Also, the path will be without the brackets and must be surrounded by quotes if there is a space anywhere in the path.

AIIM survey indicates electronic content is out of control
In its annual “State of the ECM Industry” research report, AIIM has found that managing electronic office documents is still a challenge for 47% of organizations, and that modern business communication channels — instant messages, text messages, blogs, and wikis — are uncontrolled and off the corporate radar for 75% of businesses. However, AIIM’s research also found that whereas two years ago compliance was the main driver for bringing this content into a controlled and searchable environment, cost savings and efficiency are now the main motivating factors. >>More

The recipe for an effective e-forms strategy
For an effective and professional e-forms strategy, enterprises must first evaluate the important elements and considerations for an enterprise-wide program. For development purposes, we divide forms into four categories: e-forms (electronic forms), i-forms (Internet forms), p-forms (physical forms) and v-forms (virtual forms). An enterprise-wide forms management program generally includes plans for: development; deployment; support; software standards; output strategy; management reporting; and cost-benefit requirements, including return on investment (ROI). These plans can vary widely between organizations and are dependent upon the organization's existing infrastructure and standards already in place. Each element has specific considerations that should be decided and published as a part of the Enterprise Forms Program Manual and Style Guide. >>More

Managing content securely: You are not alone!
In his 100 Day Press Conference, President Obama eluded to the challenges of managing content and access to that content securely and in a controlled manner as to balance the right of the public to know and the need to protect State Secrets. As reported by CBS News, President Obama is quoted as saying "But searching for ways to redact -- to carve out certain cases -- to see what can be done so that a judge in chambers can review information without it being in open court, you know, there should be some additional tools so that it's not such a blunt instrument." The use of the term redact, or to block out certain bits of information, is a clear indication of the challenges faced by this sdministration and our government, but also by each and every business owner and stakeholder.

If you operate under the premise that information and content created and used in an organization belongs to that organization, you should also accept that it is the responsibility of the organization to protect it from unwanted and unauthorized access. >>More
