Fortis PurgeIt is a command line application that can be run manually or by Fortis Inflo to delete documents from Fortis based on a retention schedule. Fortis PurgeIt is the final component within a Fortis records management workflow, where documents that meet a specific criterion will be purged after x number of days, years, etc.
Fortis and Fortis Inflo inherently support a records management function, but the missing piece is the ability to purge documents. Many organizations require that certain documents be saved or destroyed based on a retention schedule. When the Fortis Inflo rule decides the certain document type has exceeded its life, Fortis Inflo will move the document and call the Fortis PurgeIt application.
Now companies wishing to comply with internal retention schedules can limit their liability associated with storing documents longer than necessary.
How Does it Work?
The Purge utility will be instantiated by Fortis Inflo on a scheduled basis. So when documents reach their retention period, they are either purged or not. If they are to be purged, Fortis Inflo will move matching documents to a Purge folder. Then the Purge Utility will monitor the Purge folder and delete all documents. Through Fortis Inflo rules prior to a purge, Fortis Inflo can send an email notification to a user to either notify them of the deletion or have them initiate the purge.
All purge events are logged to Fortis Audit Trail, so there is always a way to track deleted documents. Additionally, the Audit Log table within Fortis will store the MAG file path within the details column which allows an administrator to restore the image if necessary.
Fortis PurgeIt includes 3-pass data clearing and sanitization using Microsoft’s secure delete tool prior to deletion as per DoD standard 5220.22-M (the definitive standard on data destruction).
